Turn new events into promo videos

Each new Airtable event becomes a vertical promo video, posted to Instagram and TikTok with the link saved back to the record.

A promo video for every event, the day you add it

Most events get announced with a static flyer because a video means a round trip with an editor for every date. This workflow makes the promo a side effect of adding the event. Add it to Airtable and a vertical video with your branding renders and posts on its own.

This is the event promo template the workflow renders. Each scene is its own page, combined into one video at render time.

What happens when an event is added

  1. You add an event to your Events table the way you already do.
  2. The workflow picks up the new record with its date, time, venue and photo link.
  3. Those values fill your event promo template.
  4. Orshot renders a vertical MP4 with your brand fonts, colors and motion.
  5. The promo posts to Instagram and TikTok, and the video link is saved back to the record.

What each promo shows

The template turns one event record into a short promo:

  • Headliner in huge type over the event photo, with the tour or event name above.
  • Date and venue with doors and show times, the venue name and the city.
  • Lineup as up to three stacked lines: genres, support acts or what to expect.
  • Tickets with a button and the ticket link to close.

Long names resize to fit, so a two-word headliner and a five-word one land in the same layout.

Who runs this

Venues and clubs
Every show on the calendar gets a promo the day it is booked, not the week before.
Promoters and festivals
One template carries the look across every date, city and lineup announcement.
Community organizers
Markets, meetups and workshops get a video post without anyone opening an editor.
Event marketers
Promos for several clients at once, with one base and one template per brand.

Prefer still graphics? The speaker announcement cards workflow posts an image per speaker instead, and event tickets turns registrations into PDF tickets.

How it works, step by step

  1. Pick an event promo template

Start from a vertical event promo template or design your own: headliner, date, time, venue, lineup and a ticket button over the event photo.

  2. Connect your events base

Link Airtable and pick the Events table. One record per event with fields for the details your promo shows.

  3. Map event fields

Point the template's placeholders at your fields: event name, headliner, date, time, venue, city, lineup, photo and ticket link.

  4. Connect Instagram and TikTok

Link the accounts you post to. Each new event renders as an MP4, posts, and the video link is saved back to the record.

Frequently asked

How do I make a promo video for every event?

Design one event promo template with placeholders for the photo, title, date and venue, then connect your events table. Orshot renders a vertical MP4 for each new record and posts it to Instagram and TikTok, so every event gets a promo without opening an editor.

What should an event promo video include?

The event name, date, start time, venue and a clear ticket or RSVP button, over a photo that shows the vibe. A short line about what to expect and an urgency note like an early-bird deadline help people act.

Can I use Eventbrite instead of Airtable?

Yes. Run the same template from n8n or Zapier with an Eventbrite new event trigger, so every event you publish on Eventbrite gets its promo video. The template fields stay the same.

Does it work for concerts and festivals with a lineup?

Yes. The headliner gets the opening scene and the lineup scene holds up to three lines for support acts or genres. For a full festival bill, a lineup template with separate headliner and support act fields works with the same workflow.

Where is the finished video saved?

The video URL is written back to a field on the event record, so the promo sits next to the event data. You can also send it to Google Drive or Dropbox.

Can I run this from n8n, Make or Zapier?

Yes. The same template renders through the Orshot API, so you can trigger it from n8n, Make, Zapier or your ticketing tool instead of an Orshot workflow.
